Information We Collect and Why

When you submit an enquiry through our website, we collect:

• Your name

• Your email address

• Your telephone number, if provided

• Your selected service

• Your enquiry or project description

We store enquiries in our website database and generate notifications to our business email inbox. We use this information to respond, discuss project requirements and maintain relevant business records.

If you communicate with us by email or WhatsApp, we receive the information you choose to provide.

Project materials may include briefs, photographs, videos, correspondence and other client-supplied content. We use this information to discuss, agree and perform the relevant project.

Please do not submit passwords, payment-card details or unrelated sensitive information through our enquiry form.

Marketing Communications

We maintain business-prospect and historical outreach records separately from website enquiries.

We permit individually reviewed promotional outreach only after checking contact eligibility, applicable consent or permissions, and suppression status. Historical contacts with unresolved replies or opt-out records remain excluded until reconciled. Unrestricted bulk sending and automated promotional messaging are not enabled.

Submitting a website enquiry does not automatically subscribe you to a newsletter or authorize unrelated promotional messages.

You may request that promotional contact stop by emailing info@primewebmedia.com or communicating your request in the relevant WhatsApp conversation.

Our manual suppression procedure requires contact preferences to be checked before promotional email or WhatsApp outreach. Where necessary records are unavailable or ambiguous, promotional contact remains blocked pending review.

Website Cookies and Tracking

Our website uses session-based functionality to support website security, form handling, validation and anti-spam protection.

A PHP session cookie is used for these purposes.

Our most recent bounded inspection of the public Homepage and Contact page did not identify third-party analytics or advertising trackers on those pages.

That inspection does not establish the absence of every delayed, conditional or other-page tracking mechanism.

We do not treat a website enquiry as consent to optional advertising tracking.

If optional analytics or advertising technologies are introduced, we will assess their operation, applicable consent requirements and appropriate disclosures before enabling them.

Routine website operation may also involve hosting and security logs.

Service Providers and Information Sharing

We currently use the following external services for identifiable business or client information:

Hostinger: Provides website hosting and SMTP transport for website-generated email notifications.

Google Workspace: Provides our business-email service, including receiving business correspondence and website notifications.

WhatsApp: Provides a communication channel when visitors choose to contact us through WhatsApp or communicate with us using that service.

Each provider handles information relevant to its service under its applicable terms and privacy practices.

No additional external service provider or contractor currently receives identifiable client materials for our business operations.

We require documented client authorization before transferring identifiable client project materials to any additional external AI platform or service. The intended recipient and purpose must be identified in the relevant project arrangements.

Independent portfolio demonstrations do not establish that identifiable client information has been transferred to the tools used to create them.

Retention and Deletion

We have adopted the following selected retention periods as internal policy targets:

• Unconverted enquiries and outreach records: 12 months after the last meaningful interaction, subject to applicable opt-out handling, earlier removal where appropriate and recordkeeping requirements.

• Completed-project correspondence, final deliverables and essential project records: 24 months after project completion.

• Raw client photographs, videos and creative assets: 12 months after project completion.

• Billing, accounting and tax records: An internal default of eight years, or longer where legally required.

• Routine backups: A target of 30–90 days where supported.

• Security and server logs: Mandatory retention requirements take priority over internal targets. Where the CERT-In Directions apply, ICT logs must be maintained securely for a rolling minimum of 180 days within India. Actual provider compliance has not yet been verified.

These periods are selected policy targets and are being implemented through manual procedures.

They do not mean every existing system or service provider automatically deletes information according to these periods.

Actual provider deletion capabilities, provider-managed retention periods and certain backup limitations have not been fully verified.

Protected recovery copies, legal obligations and necessary record holds may require some information to remain longer.

Deleting information from active records does not necessarily remove all backup or recovery copies immediately.

We retain the minimum information needed to respect and enforce promotional opt-out requests where necessary.

Your Privacy Requests

You may contact us to request access to, correction of or deletion of your information, or to raise a privacy concern.

Requests are recorded in a restricted manual register. We may seek proportionate identity verification before disclosing or changing information.

Our internal service targets are:

• Acknowledgement within seven business days.

• Resolution of straightforward requests within 30 calendar days.

These are working targets, not unconditional guarantees or replacements for applicable legal requirements. Information-processing grievances will be addressed expeditiously and within one month of receipt; any applicable shorter legal deadline takes precedence.

Where a legal obligation, provider limitation, backup restriction or other applicable exception prevents a requested action, we will explain the relevant limitation.

We do not promise universal automatic deletion or unrestricted erasure.

Information Security

We restrict access to website administration and privacy records.

We use appropriate operational safeguards for website enquiries and business records. However, no website, email or messaging service can guarantee complete security.

Please avoid sharing passwords, payment-card information or unnecessary sensitive material through general enquiry channels.

Changes to This Policy

We may update this Privacy Policy when our services, information-handling practices or applicable requirements change.

Material changes will be reflected in the published policy.

A policy update does not, by itself, authorize unrelated new uses of information previously supplied.

We collect your name, email address, optional telephone number, selected service and message to respond to your enquiry and discuss your project.

Your enquiry is stored in our website database and generates a notification to our business inbox.

Hostinger provides website hosting and notification email transport. Google Workspace provides our receiving business-email service.

Portfolio videos are optional and hosted by YouTube, a Google service. Before you select Play, our video component does not load the YouTube player or request a YouTube thumbnail. Selecting Play loads YouTube’s privacy-enhanced player and attempts playback. Google may receive your IP address, browser/device information, the website origin and playback activity, and may use cookies or other storage under its policies. You can leave videos unloaded and continue using our website. Closing the player does not erase information already sent. Following a YouTube link opens Google’s service, where its policies apply.
